Gateman Privacy Policy

Last updated: 17 October 2026

1. Who we are

Gateman is a registered trademark of Forematic Techneow Solution Private Limited ("Techneow", "we", "us"), Bengaluru, Karnataka, India. Under the Gateman brand we provide cloud services for employee attendance and payroll, boom barrier entry management for vehicles and visitors, and GPS vehicle tracking.

This policy covers the Gateman web portal, the Gateman apps for Android, iOS and Windows, the website www.gateman.in, and the devices connected to our servers: attendance terminals, boom barriers with their readers and cameras, and GPS trackers. It explains what personal data these services handle, why, who can see it, and the choices people have.

2. Our role

Businesses, housing societies and other organisations ("clients") use Gateman to manage their people, premises and vehicles. For the data a client puts into Gateman about its employees, residents, visitors, drivers and vehicles, the client decides what is collected and why. Techneow processes that data on the client's behalf and under its instructions.

For data about the client's own account (its admins and billing contacts) and about our sales partners, Techneow decides how the data is used.

This policy follows India's Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000 with its rules on sensitive personal data.

4. Biometric data, camera images and location

Biometric data. Fingerprint and face templates are created and stored on the attendance device at the client's premises. When someone is enrolled, the device sends the enrolment record to our server; the server keeps only a summary (device user ID, name, role and which methods are enrolled) and discards the fingerprint and face templates, PIN and photo at once, without saving them. For attendance, our servers receive only the event: who, when, which device and which method was used.

Biometric data is sensitive personal data. The client must tell its employees why it is collected and get their consent before enrolling them on a device. Employees who do not want to use biometrics can be given an RF card or another method by their employer.

Camera images. Gate cameras take images of vehicles and number plates when they enter or leave. The client should display a notice at the gate saying that the area is monitored.

Location. A GPS tracker reports the vehicle's location while it has power. The client must tell drivers that the vehicle is tracked and use location data only for legitimate work purposes.

5. Who we share data with

We share personal data only with the service providers that run Gateman for us, under contracts that require them to protect it:

We may also disclose data when Indian law requires it, for example in response to a lawful request from a government authority.

6. Security and retention

Security. The Gateman apps, portal and website use encrypted connections (HTTPS). Some attendance device models can only send data to our server over an unencrypted connection; templates in that traffic are discarded on arrival, and clients can place devices on a protected network or VPN. Passwords are stored hashed, access is limited by role, and we keep daily backups and audit logs.

Retention. We keep a client's data for as long as its subscription is active. If a device's paid period ends, its data is hidden from the client but its records are kept for 90 days; renewing within 90 days restores everything. From day 91, new records from that device are no longer stored.

When a client closes its account, we delete or anonymise its data within 90 days, except invoices and records we must keep by law (for example, GST records).

7. Your rights and account deletion

You can ask to see, correct or delete your personal data, withdraw your consent, or name someone to act for you. Employees, residents, visitors and drivers should first contact the organisation that uses Gateman (their employer, society or fleet owner), which controls their records; we will help that organisation respond. Clients and other users can write to us directly.

Deleting an account. Gateman logins are created by the client's admin, not by individuals. To delete a login, ask your organisation's Gateman admin, who can remove it under Users. You can also request deletion at www.gateman.in/delete-account, or email info@gateman.in with the subject "Delete my account", giving your username and organisation name. We confirm within 7 days and delete the login and its data within 30 days, except records we must keep by law.

Children. Gateman apps and logins are not meant for anyone under 18. Visitor or resident records that a client enters may sometimes relate to a minor; the client is responsible for that data.

8. Changes and contact

If we change this policy, we will update the date at the top and, for important changes, tell client admins by email or in the app before the change takes effect.
